Deep links - Whether you’d like to provide quick access to help centres or other frequently used external links, you can now embed these directly on your navigation menu for a more seamless employee experience. If you’d like access to this feature, please let your Customer Success Manager know to help set this up.

Authorised Devices - Ever had issues with employees bypassing geo-fencing when clocking in or out? You can now prevent this by configuring authorised devices for web clocking such as a designated tablet or in-store computer. This enhances security and prevents employees from clocking in via personal devices outside the geo-fence range. If you’d like access to this feature, please contact your Customer Success Manager.

Classifications - We’ve introduced employee classifications! These flexible attributes can be configured in the Admin Console and applied to employee profiles, making it easier to segment specific groups of users, break patterns, and apply pay rules with confidence.

Student Visa compliance - To ensure employees on student visas do not exceed their contracted hours, we’ve introduced a hard block when attempting to swap or drop shifts that would push them over their limit. For example, if Employee A attempts to swap a shift with Employee B (who is on a student visa), and the shift would exceed Employee B’s contracted hours, Employee B will not appear as an available option in the drop-down list.

Student Visa term times via API - To support long-term management of Student Visa information within employee profiles, we’ve released the ability to manage employee term-time dates via our public API. You can find the API documentation here.

Break rules - If you have a break policy with rules specific to the day of the week or to the shift’s end time, such as night shifts, you can now create conditions within the admin console.

Pay Rules Engine updates - New conditions added for: employee type, classifications, contracted hours, skills, and age.

Leave Admin reporting - We’ve updated the Leave Admin report to include clearer visibility of leave balances. The report now specifies leave taken to date, alongside a new column showing the total amount of approved leave (including both leave already taken and future approved leave) for each employee.

Location Services on Mobile: Employees are no longer required to keep location services switched on if geo-fencing is disabled. This makes the app simpler and less intrusive to use.

API Enhancements: User data can now be pulled directly from our API, giving you more flexibility and efficiency when integrating with your existing systems.

Student Visa Compliance: Enhancements now prevent potential visa violations when using the gaps or copy week functionality. We’ve also added some warnings to the timesheets for when employees may risk going over their allowed hours. We added these to help ensure your scheduling remains compliant.

Timesheet Visibility Controls: For customers not using the 52-week average field, you can now remove manager visibility of this data, giving you tighter control over what information is shared.

  • Specific tasks can now be excluded from the basic threshold calculation.

  • Two payroll codes can be applied to a single task if both are relevant. These updates give you greater accuracy and flexibility in payroll management.

  • People Audit Tracking: All changes made on the People page are now logged. You can request this data at any time for audit purposes, ensuring better visibility and compliance.

Lone person working: Certain tasks can now be excluded from LPW breaches if needed. This has enhanced and optimised our reporting of LPW breaches.

Mobile timesheets wording update: We’ve changed the label from “Paid” to “Worked Hours” in employee timesheets to avoid confusion.

Faster standard reports: We’ve improved the performance of some reports, especially when covering longer timeframes or many locations. If you still notice any lag, please shout.

Student Visa management via API: A new API endpoint lets you manage student visas directly via our public API.

New language translations: Portuguese and Latvian are now available on both web and mobile. If your device is set to a supported language, the app will update automatically.

Projected leave accrual visibility: Employees can now view their projected leave accrual based on their year-to-date average hours worked — right from the app.

Student visa visibility on timesheets: Student visa info is now visible directly on the timesheet, as well as in the schedule.

Term-time configuration for student visas: Managers can now define term times for student visa holders — setting soft or hard caps on hours worked during term and non-term periods. Stay tuned for additional development in this area over the next few months.

Multi-region bank holidays in Pay rules: You can now manage multiple regional bank holiday calendars in our Pay Rules Engine.

Webhook for leave changes: We've added webhook notifications of any leave changes via the API to cover the most common use cases, including leave status changes and any data changed after the status is approved.

Fit-to-demand reporting improvements: This report pulls a lot of granular data, so we've improved its performance to run faster and more efficiently.

Improved error messages on user importer: Customers can now easily identify employees who have not been end-dated via the user importer due to errors.​​​​​​

Timesheet and leave performance improvements: We've increased the system capacity when managing your timesheets and leave requests to give you a quicker response to actions completed on these pages.

MFA logins: We've increased the capacity to manage multi-factor authentication (MFA) login processes which creates a smooth and seamless login process during periods of high usage.

Exception reporting improvements: We’ve improved reporting for healthcare customers to include filters for user status and end dates.

Labour Model Manager: We've revamped our entire front-end for customers who use our forecasting and bottom-up demand generation.

Storing and seeing student visas: We've built the structure to capture student visas & their expiration dates, and show them on the schedule.

Day notes: Users can now add notes to a date range to help communicate schedule-impacting events such as peak periods, inventory and timesheet sign-offs.

Location-specific rounding rules: We've added the ability to apply different timesheet rounding rules for different locations to address multiple policies across a single company.

T&A restrictions: Customers can now restrict how employees can clock in & out of shifts & breaks to particular methods (web, mobile, biometrics).

Work pattern integration to Zellis: We’ve added working patterns to the flat file integration with Zellis for when leave is mastered in Rotageek.

Contactless clocking with Grosvenor GT4: We now support contactless clocking integration for Grosvenor GT4 devices with facial recognition.

ESR integration improvements: We’ve aligned our integration output closer with the requirements so customers need to make less manual adjustments.

New font - We have updated the font across Rotageek in line with our branding to give you a more consistent feel across your interactions with Rotageek.

Daily totals on the timesheets - This allows you to track the variance between what has been scheduled, worked and if there are any differences in the budgets you’ve given.

Dashboard enhancements - The location will now be set to your primary location when you access the dashboard. It will also remember any changes you’ve made and appear as the location hierarchy, saving you time every time you log in.

Pinning the demand graph - You can pin the demand graph to give visibility of the graph when you scroll through the page, improving your user experience when accessing the Scheduler.

Day notes on the Scheduler - This gives you the ability to share messages with your managers in case you need to inform them of something which may impact their scheduling for a specific day.

Individual permissions for reporting - You can now give select individuals permission to access only certain reports to ensure employees only have access to reports that are important to them.
