To book Leave in the web browser, log into your account and select the Leave tab from the left hand menu.

Understanding your leave summary

At the top of the Leave page, your leave is summarised in cards for each requestable leave type for the current leave year. Each card is split into three sections:

  • Allowance – shows your fixed or accrued leave allowance for the leave year. A tooltip explains that this is either your fixed entitlement or the leave you have accrued so far, depending on how your organisation manages leave.

  • Approved – shows the total amount of leave (days/hours) that has been approved for you, and within that, how much has already been taken to date. A tooltip explains that this is the total of leave approved and the total taken to date.

  • Balance – shows your remaining leave balance, calculated as Allowance minus Approved. A tooltip explains that this is your entitlement minus all approved leave.

If one of your requestable leave types does not have an allowance associated with it (for example, an unpaid leave type), only the Approved section is shown on the card; the Allowance and Balance sections are hidden for that leave type.

Projected leave (for accruing leave)

If you accrue leave over time and your organisation has enabled the Projected leave feature, the Allowance section can also show your projected total days/hours for the full leave year, based on how much leave you have accrued so far and how much of the leave year remains. This gives you a clearer picture of what your expected total entitlement will be by the end of the leave year, alongside how much has already been approved and taken.

Leave year

By default, the summary cards and list show your leave for the current leave year. If you need to change the leave year you are viewing, use the dropdown menu in the top left of the Leave page to select a different year.

Below the summary cards, you will see a list of all the leave you have requested over the selected leave year. This can include approved, rejected, outstanding, and cancelled leave requests.

Requesting new leave

To begin a new leave request, click on the blue + Request Leave button in the top right corner of the Leave page. This will open a new window where you can enter the details of your leave request.

  1. Choose the leave type
    First, select the type of leave you wish to book from the dropdown list. This list will show all requestable leave types that your company allows you to book yourself.

  2. Select the dates
    Choose the start date and end date of your leave. You will then be offered three options for the type of request:

    • All day – a one-day leave request for the full day

    • Partial – a one-day leave request for specific times (for example, a morning or afternoon)

    • Longer – a leave request that covers more than one day

    If you choose Longer, set the end date for your leave.
    If you choose Partial, enter the start and end times for the part-day absence.

  3. Add a note (optional)
    If you would like to provide more information about why you need the time off, you can add a note for your manager in the Notes box (for example, “I need the day off to attend my sister’s wedding”).

  4. Submit your request
    When you are happy with the details, click Save to submit your request. Your manager will then receive the request for approval.
