How to request leave on the Rotageek mobile app.

Requesting Leave on Rotageek is simple and straightforward! This article shows you how to request leave on the mobile app.

To access your Leave, tap on 'my upcoming leave' on the Dashboard or via leave in the sidebar.

Understanding your leave summary

At the top of the Leave page, your leave is summarised in cards for each requestable leave type for the current leave year. Each card is split into three sections:

  • Allowance – shows your fixed or accrued leave allowance for the leave year. A tooltip explains that this is either your fixed entitlement or the leave you have accrued so far, depending on how your organisation manages leave.

  • Approved – shows the total amount of leave (days/hours) that has been approved for you, and within that, how much has already been taken to date. A tooltip explains that this is the total of leave approved and the total taken to date.

  • Balance – shows your remaining leave balance, calculated as Allowance minus Approved. A tooltip explains that this is your entitlement minus all approved leave.

If one of your requestable leave types does not have an allowance associated with it (for example, an unpaid leave type), only the Approved section is shown on the card; the Allowance and Balance sections are hidden for that leave type.

You can filter by status which includes approved, cancelled, outstanding or rejected by clocking the drop down menu on 'show all statuses.'

You can also choose to view specific types of leave requests which will depend on which leave requests your company have made requestable.

To request leave, simply press the + in the top right corner, select the type of leave required and the dates/times you wish to take off. There are three 'types' of duration you can request:

All day is a one day leave request for the full day.

Partial is a leave request for an individual day with specific times e.g. 9am-6pm.

Longer allows for longer than 1+ day e.g. 1 week.

Once you have submitted your leave, it will appear on the initial leave page showing as outstanding until your manager has reviewed the leave.

If your leave is approved, you will get a push notification and/or email and it will be confirmed by changing from outstanding to approved. If it's rejected, the entry will show as rejected in red.

If you have a leave request that is still in the 'outstanding' phase, you can open up the individual entry and cancel the request. This will automatically be removed from your managers view.

However, if your leave is already approved and you want to cancel it and your company allows, you will need to request to cancel the approved leave.

To do this, simply open up the entry and select request cancellation at the bottom of the screen.

This will then show on the mobile app in orange saying 'cancellation requested' and once your manager has made a decision, it will be updated on the system. If it is approved, your balance will be updated and allowance returned.
