How to use the Gap Autoscheduling feature on Rotageek.

If your company has set shifts that you want to autoscheduler, you can use our gap autoscheduling feature which would auto assign the shifts to your employees within two clicks.

For gap autoscheduling to work, you can either create gaps manually or create a gap pattern to apply a multitude of shifts. Managers can then use the autoschedule function to apply these shifts to any staff members that meet the criteria.


Adding Gaps Manually:

Rotageek has a gaps feature at the top of the scheduler to indicate that a shift needs to be filled but is not yet assigned to a team member.

Add your unassigned shifts to the gaps row in the scheduler, just as you would add a shift to the Scheduler itself. You can either create a new gap or choose from the list of custom shifts. If the shift requires a specific task you can specify this here too.

If you have more than one unassigned shift on a particular day, you can add multiple gaps in the same box.

Once you've added your unassigned shifts to the gaps row, this is when you can run the gap autoscheduler.


Adding Gaps via Gap Patterns:

If you have the same pattern (or multiple patterns throughout the year) that you want to pre-build to assign onto the scheduler rather than manually adding each one, you can do this via gap patterns.

Once you have made your gap pattern, you need to apply this onto the scheduler.

Once you've added your unassigned shifts to the gaps row via your gap pattern, this is when you can run the gap autoscheduler.


Running Gap Autoscheduler:

Once you have applied your gap shifts either by manually adding or gap patterns, you can run the autoscheduler.

To do so, simply click the autoscheduler button in the top right-hand of the scheduler.

Rotageek will then generate a schedule that fits into all your rules, people data and budgets if there are budgets on the system, using the fixed shifts that you specified in the gaps row.

Once Autoscheduler has run, managers can manually edit the schedule produced by the Autoscheduler by either editing or deleting existing shifts, or adding further shifts if needed.

All you need to do then is click approve changes to finalise the rota.
