How to manage absence on the scheduler.

Leave can be viewed and sometimes managed on the Scheduler. This depends if you request and manage leave within Rotageek or through your HR provider.

Leave managed on Rotageek:

Rotageek allows you to easily manage both planned and unplanned absences on the Scheduler.

When your company's account is set up, the leave types relevant to your business will be created ready for use on the Scheduler. Some of these leave types will be requestable, meaning you may have to view and choose whether to approve or reject the leave. Anything approved that is requestable will automatically show on the Scheduler for the correct dates.

However, you might want to add non-requestable leave on the scheduler, or update pre-approved leave.

To add leave on the Scheduler, hover your mouse over the day and individual you want to add it to. Click the + button in the bottom right as you would do to create a shift. This launches the shift creation dialogue box.

Click the Leave tab, and select the leave type you require from the drop-down list.

Here, you can choose whether to have:

  • All day leave request which will book the full single day off

  • Partial where you can choose the hours of leave for a single day

  • Longer where you can choose 2+ days

You can also add a note. You can see the total break down including any hours/days that are being taken, the amount of hours they're currently working that week and their contractual hours.

At this point, when you select save the leave will be added onto the Scheduler and if the leave has a balance, the hours or days will be deducted from the employees allowance.


Leave through your HR provider:

If your company completes leave within another system, leave will be updated from the provider. This means all leave requests and non-requestable leave should be recorded within the providers platform.
