This article will show you the overview of the scheduler on Rotageek.

The Scheduler is where you will be able to add shifts for your employees.

Depending on your level of access you might not see all of these features.

The schedule if populated will show all of the shifts that have been scheduled. It will also include any leave on the system.

Within the main scheduler section, the middle left hand will show all your employee data.

This will have their name, any costing to them if they have shifts scheduled and a payrate on the people page, their maximum hours, position and skills.

Rotageek colour codes the contractual hours to help you understand if an employee is under contractual hours or over max hours.

Green - Employee has worked their exact contract hours

Red - Below contracted hours or above maximum hours

Amber - Above contract hours and below maximum hours


Down the left hand side of the Scheduler you will be able to see all the locations you have access to.

If your company has location hierarchies set, you will need to open the 'area' in the hierarchy to see the locations inside.

All locations you have access to will show here, if they are read-only they will have a padlock next to them. This means you can view the schedule and use gaps, but not edit shifts or approve.

You can also use your filters to view specific tasks and positions which will filter down the schedule to only show the employees who meet the criteria. This will also interact with the demand graph.


Rotageek has a view and tools section on the scheduler in the top right.

View allows you to customise the Scheduler to your own choice.

Location allows the view to be shown either one by one or merge the view which also merges the gaps row.

Zoom preferences can zoom in or out and view settings allows the shift data and employee data to be customised to show or hide certain information.

Audit trail can be turned on to see all historical data to any of the shifts on the scheduler.

Availability can be hidden along with hiding employees who haven’t started or are on leave all week e.g. maternity leave.

In tools, for the week you are on and have scheduled, this can be copied over one or multiple weeks. The schedule can also be printed from here.

If your company uses Autoscheduler, you can undo an autoscheduler here too.

Managers can also send gap shifts and bulk delete a schedule within tools.


Budgets and Costings:

You can look at budgets and costings on the scheduler if your company uploads budgets and has employee pay data on the system.

Along the top of the Scheduler, per day, you can view how many people are scheduled, on leave or sick. You can also see the amount of hours scheduled vs any target hours and see the costing for the specific day.

Budgets can be uploaded onto Rotageek in hours. You will be able to see scheduled hours vs budget at the bottom of the scheduler.

If you want more in-depth data, you can choose to have budgets per task.

The budget drop-down will show you how many hours are scheduled, on leave and if you have gone over your budget or demand.

The cost of the location can also be shown at the bottom if your company has pay rates on the system. This will show a breakdown of shift and leave costs.
