Contract Types

Overview

Contract types define the working, scheduling, break, and leave settings used for different groups of employees.

Administrators will need the 'Manage Contract Type' permission to create, edit, and deactivate contract types directly in the Rotageek Admin Console.

Before you Begin

Make sure you have the following ready:

  • The contract type’s External ID. This mandatory identifier must match the value used by your integration or upstream system so records are mapped to the correct contract type.

  • All relevant contract details. Have the values ready for the contract type’s hours, days, breaks, finish rules, scheduling, and leave settings so it can be configured accurately and consistently.


Creating a new contract type

  1. Open the Admin Console.

  2. Select Contract Types.

  3. Select '+ Add contract type'.

  4. Enter the required information:

    • External ID: The identifier used by an integration or upstream system. This field is mandatory.

    • Name: The name used to identify the contract type. This field is mandatory.

  5. Complete the other settings that apply to the contract type.

  6. Check the values carefully.

  7. Select Save.

The new contract type is then available for use in your group. To assign it to an employee, select it from the contract or schedule details in the People area.

Note: Some settings depend on your organisation’s scheduling configuration. If you are unsure which value to enter, check a similar existing contract type or contact your Customer Success Manager before saving.


Managing Existing Contract Types

Edit a contract type

  1. Open Admin Console > Contract Types.

  2. Select the contract type you want to update.

  3. Select Edit.

  4. Update the required settings.

  5. Select Save.

Deactivate a contract type

Deactivate a contract type when it should no longer be available for new use.

  1. Open Admin Console > Contract Types.

  2. Select the contract type.

  3. Select Deactivate.

  4. Confirm the action.

Deactivation is not permanent deletion. The contract type remains in the system but is no longer available for use.

Note: If an integration uses the contract type, do not change its External ID unless you have confirmed the change with the person responsible for the integration. The External ID must match the identifier used by the upstream system.

Use the filter on the Contract Types page to narrow the list and find the contract type you need.


FAQs

Why can’t I see the Contract Types page?

Your user or position may not have access to the page. Ask an administrator with access to Permission Templates or the People page to grant the required access.

Can I permanently delete a contract type?

No. Contract types can be deactivated, but they cannot be permanently deleted from the Admin Console.

What should I enter as the External ID?

Enter the identifier used by your integration or upstream system. The External ID is mandatory and must match the value used by that system.

A contract type is not available for selection. What should I do?

It may have been deactivated. Check the Contract Types page or ask an administrator to confirm its status.

An integration is not matching the contract type. What should I do?

Check that the contract type’s External ID exactly matches the identifier used by the integration or upstream system. Contact your integration owner before changing the value.

What should I do if I am unsure about a setting?

Do not guess if the setting could affect scheduling, payroll, or an integration. Check a similar contract type or contact your Customer Success Manager or Customer Support team.
