Creating Leave Reasons for Leave Types

You can use leave reasons to record why time off is being taken for each leave request (for example: Sick – Flu, Medical Appointment, Compassionate Leave).

You can manage these reasons directly in the Rotageek Admin Console. This guide walks you through the setup step by step.


To manage leave reasons, your user account must have a specific permission assigned. If you don't have this permission contact your Rotageek Customer Success Manager to have this activated.

Steps

  1. Go to the Admin Console.

  2. In the left-hand menu, select Leave.

  3. Click Leave types. You will see a list of all leave types (for example: Annual Leave, Sick Leave, Parental Leave).

  4. In the Leave types list, click the leave type you want to configure (for example Sick Leave).

  5. At the top of the page, you will see tabs such as:

    1. Details – main settings for the leave type

    2. Reasons – the list of leave reasons for this leave type

  6. Click the Reasons tab.

  7. In the Name field, type the reason users will see when they request leave, for example:

    1. Sick – Headache

    2. Doctor's appointment

  8. Click Save

The new reason will now appear in the list for that leave type and can be selected when users request this leave type.


Deactivating or Editing an Existing Leave Reason

To edit an existing reason:

  1. Stay on the Reasons tab for the relevant leave type.

  2. Find the reason you want to change.

  3. Click Edit (or the pencil icon).

  4. Update the Name

  5. Save

To deactivate (stop using) a reason:

  1. On the Reasons tab, find the reason you no longer want users to choose.

  2. Click the 'x' button

  3. Save

Deactivated reasons will no longer be available for new leave requests, but may still appear on historical data and reports


If you want to force users to pick a reason when they request a certain leave type, ensure the “requires reason” setting is enabled on that leave type.

  1. Go back to Admin Console > Leave > Leave types.

  2. Click on the relevant leave type.

  3. On the Details tab, locate the setting 'Requires Reason'

  4. Turn this setting on to make choosing a reason mandatory.

  5. Click Save.
