Admin Console - Timesheet Settings

Use Timesheet Settings in Admin Console to control how time is rounded, validated and displayed before approval and payroll. The page is split into:

  1. General settings – global behaviour, default rounding and exception thresholds.

  2. Location Rounding Rules – optional overrides for specific locations.


Accessing Timesheet Settings

  1. Log into Rotageek (web).

  2. Go to Admin Console.

  3. Select Timesheet Settings.

  4. Use the tabs/links to move between General settings and Location Rounding Rules.


General settings

Settings

These switches control overall behaviour:

  • Requires payroll sign off – timesheets must be signed off before payroll exports / “Trigger payroll”.

  • Lock current day – prevents editing today’s entries once locked.

  • Show tasks – shows task information on timesheet rows.

  • Edit break timings – allows editing break start/end times on timesheets.

  • Show non‑substantive shifts – include or hide non‑substantive shifts from timesheets.

  • Show 52‑week average – displays 52‑week average panel where configured.

Costing and display options

  • Shifts are costed to

    • User’s Primary Location – cost to the worker’s primary location.

    • Worked Location – cost to the location actually worked.

  • Display ‘duration’ in

    • Fractional hours (e.g. 7.50) or HH:MM(e.g. 07:30).

  • Total hours validation – optional total‑hours check; raises validation messages if times fall outside allowed ranges.


Default rounding rules

Define how Rotageek handles small differences between scheduled and clocked times:

  • If a user checks in early

  • If a user checks in late

  • If a user checks out early

  • If a user checks out late

Each dropdown typically lets you choose whether to keep the clocked time or round towards scheduled time / a rounding point.

You can also set:

  • If outside check in/out window, round to the nearest X mins – rounds clockings to the nearest specified interval when they fall outside the allowed window.

These rules apply to all locations unless overridden by a Location Rounding Rule.


Exception thresholds

Use exception thresholds to flag significant early or late clockings.

  • Excluded positions: Roles that should never generate exceptions (e.g. senior managers).

  • Shift exception thresholds: Set minute thresholds and toggle ON/OFF for:

    • Check-in early/late by more than X minutes

    • Check-out early/late by more than X minutes

  • Break exception thresholds: Same options, applied to break check-in/check-out times.

When enabled, exceptions are highlighted on the timesheet and in T&A exception views so managers can quickly identify and review out-of-tolerance clockings.


Location Rounding Rules

Use Location Rounding Rules to apply different rounding policies to specific locations while keeping a global default.

The table shows:

  • Name – rule name (e.g. “Retail – 5 min rounding”).

  • Check In Early / Check In Late / Check Out Early / Check Out Late – rounding behaviour for each case.

  • Locations applied – locations that use this rule.

Creating a Location Rounding Rule

  1. Go to Admin Console → Timesheet Settings → Location Rounding Rules.

  2. Click Add Location Rounding Rule.

  3. Enter a Name.

  4. Choose rounding behaviour for check‑in early/late and check‑out early/late.

  5. Select the locations that should use this rule.

  6. Save.

Those locations now use the location rule instead of the default rounding rules in General settings.

When to use it

Typical use cases:

  • Different rounding policies for head office vs. stores, or for specific brands/regions.

  • Gradually trialling a new rounding approach at a subset of locations.

  • Local agreements requiring tighter or looser rounding windows than the global standard.
