Scheduler Warnings

What Is it?

Scheduler Warnings help you spot potential breaches in your schedule before they become an issue – for example, employees working beyond maximum hours, shift length, or days per week.

With this release, warnings are now clearly visible directly from the scheduler, and you can review full details in a dedicated Warnings modal.


Before you start

To use Scheduler Warnings, you’ll need:

  • Scheduler warnings enabled for your group.

  • Access to the scheduler for the relevant location(s).

Your Scheduling Rules (e.g. weekly maximum hours, maximum shift length, etc.) are configured on the People page, and these rules are what drive the warnings you’ll see in the scheduler.

Note: Daily engagement in warnings is calculated as the sum of all shifts within the day for that employee (not just a single shift’s length).


Turning on Scheduler Warnings

Scheduler warnings can be enabled via the Admin Console. If you don't have access to the admin console please contact your Rotageek Group Admin or or your Rotageek Customer Success Manager.

To enable:

  1. Navigate to the Admin Console -> Scheduler Settings

  2. Toggle the 'Show scheduler warnings' button -> Save

Once enabled, warnings will begin to appear on the scheduler as described below.


Seeing warnings at a glance in the scheduler

When Scheduler Warnings are enabled, you’ll see quick visual indicators in the scheduler:

  • Warning badge on employees
    Next to each employee’s name on the scheduler, a count badge shows the total number of warnings for that person (only if there is at least one warning).

  • Warning icon on shifts
    Any shift that has an applicable warning will display a warning icon on the shift tile itself.

  • Warnings in the shift edit modal
    When you open a shift (e.g. to edit it), any relevant warnings for that shift are shown in the shift edit modal, so you can see exactly what rule has been breached while making changes.

These indicators make it easy to spot issues quickly as you work in the scheduler.


Using the Warnings button and modal

Opening the Warnings modal

  1. Go to the Scheduler

  2. Click the Warnings button.

  3. A Warnings modal opens alongside the scheduler, showing all current warnings.

The Warnings button includes a badge with the total number of warnings, so you can see at a glance how many outstanding issues exist across the schedule you’re viewing.

In merged views, the Warnings button and modal can show warnings across the selected locations, giving you a combined picture for that view.


Exploring warnings in the modal

Inside the Warnings modal, warnings are designed to be easy to navigate and understand:

  • Grouped by employee
    Warnings are grouped by employee, so you can focus on one person at a time and see all their issues together.

  • Searching for an employee
    Use the search within the modal to quickly find a specific employee and review only their warnings.

  • Filtering by breach type
    Use filters to show only certain breach types (for example, specific Scheduling Rules you have configured).
    These options are based on the configurable Scheduling Rules fields from the People page, so the filters reflect your own rule configuration.


Viewing full warning details

When you click into a specific warning in the modal, you’ll see more detail to help you decide what action to take:

Each warning shows:

  • Scheduled value – what is currently scheduled (e.g. total hours worked in the period).

  • Rule threshold – the limit from your configured rule.

  • Variance – how far above (or below) the threshold the schedule sits.

  • Date(s) of affected shift(s) – which shift dates are impacted by the breach.

At the same time:

  • The affected shifts are highlighted in the scheduler, and

  • The scheduler automatically scrolls to bring those shifts into view.

This makes it easy to connect a warning to the exact shifts that need attention.


Keeping warnings up to date

The Warnings modal is kept in sync with the active schedule:

  • As you edit shifts in the scheduler (for example changing times, moving shifts, or adding/removing shifts),

  • The Warnings modal refreshes automatically so you always see up-to-date information about which rules are currently being breached.

This means you can iteratively adjust the schedule and immediately see whether you’ve resolved the issues.


Notes and limitations

  • Some cross-week breaches (such as rest patterns or consecutive days off calculated over a fortnight) may be handled in separate follow-up enhancements; the current release focuses on day-level and in-scope rule breaches as configured in your Scheduling Rules.

  • The exact set of available breach types and thresholds depends on your organisation’s configuration on the People page.
