What data can be held on the Staffing Levels page?

Staffing Levels allow you to manually create the minimum, target and maximum staffing requirements for each task. You can do this per day and create multiple templates for each location.

You can add staffing levels by clicking the Staffing Levels tab. When you navigate onto the Staffing Levels page, you will see the first location you have access to. If you have multiple locations, you’re able to click the drop down to choose which location you want to add or update the staffing levels for.

The staffing levels follow the same start date of the week as the Scheduler.

Staffing Levels allow you to add demand for each individual day, per task in 15 minute increments depending on the input chosen.

There are four input types to this page; but you might not see all of them on your Staffing Levels as these depend on what your company uses.


The Target Line:

This is the ideal number of staff you want staffed for the task. Make sure you set a target to cover the whole time you need coverage. This is the purple line.


The Minimum Line:

To see and use minimums, you will need to tick ‘Show minimum values’ on the ‘Filters’ button in the top right hand corner.

A minimum would be set for a task that’s less than the target but is needed to run your department. For example, you may have a target of 2, which is your ideal, but you need a minimum of 1 to run your department. This is the pink line.

When you show minimums, you'll also be able to update the general line. The general line allows you to put a minimum number of employees you need to run your whole department. If your company is using the Autoscheduler and it cannot find all your minimums for the specific tasks, it will fall back to the general line to ensure you have enough employees to physically be able to run your department.


The Maximum Line:

To see and use maximum, you will need to tick ‘Show maximum values’ on the ‘Filters’ button in the top right hand corner.

A maximum would be used when it is physically not possible to have more than a certain number of people staffed to a task at one time. A maximum can only be done for the whole period, rather than in 15 minute increments. This is the blue line.


The Staffable Line: only used on Autoscheduler

For all forecast-driven tasks, you will see a Staffable line. This is to tell the Autoscheduler the times at which it is possible to assign the task, so that tasks aren't scheduled at times they shouldn't be. This has no employee amount as this is completed by the Autoscheduler. This is the green line.


You may also see some tasks that will only allow you to assign a minimum to them. This is because it is a passive task. This means it is being worked in the background, for example First Aider.
