How to navigate using the scheduler between multiple locations.

You may be able to see more than one location on the Scheduler.

This will be because you will have access to multiple locations to edit, or because you have read-only access to other locations close to yours.

Read only access allows managers to view staff availability in nearby locations, which is helpful for identifying available colleagues to provide cover when a particular location is short staffed.


Viewing Multiple Locations on the Scheduler:

Locations may be within subsets of areas and/or sections. To open an area, click the check box and you will be able to see all the locations you have access to inside.

If you want to view more than one location, make sure you select all the locations you want to view.

Using Gaps

If you have access to multiple locations, you can use gaps to find cover for your location from another. If you need more information on what gaps are or how they are assigned, you can view our article here.

Gaps across multiple locations works in the same way as across a single location - the only difference is that you can assign or send the available shifts to multiple employees and view availability in other locations when you're choosing who to assign a gap to.

If you're assigning the gap on the scheduler, the chosen locations will appear with their own drop-down and from here you can choose which employee(s) you send the gap shifts too.

If you're sending out the gap shifts, you need to specify which locations you want to send the gaps shift too and then you will get a list of employees. The list will show which location they belong to.

An employee staffed to work, for a one-off shift, in a location that is not their normal primary location will show in their primary rota as working in that other store.

The location they have been loaned to will also be able to see their name at the bottom of their scheduler in 'external users.' This allows everyone to have full visibility of who is in what location.


If you are scheduling multiple gaps over multiple locations, you can change your view settings and 'merge' the locations together.

This means all the gap rows from the selected locations will be at the top together for easier scheduling between locations.
