The Rotageek time clock microsite provides a fast way for colleagues to record shift, break, and task activity where enabled, using their registered access card. This article explains how managers and administrators can support colleagues, maintain access-card details, and troubleshoot common issues.

What colleagues need to do
Ask the colleague to:
Tap their registered access card.
Select the correct action on screen.
Confirm the action before leaving the kiosk.
A card tap does not complete an action by itself. The colleague must select and confirm the action displayed.
Access card setup
Each colleague who uses the microsite must have a compatible access card and a unique card identifier recorded in the Access Card Number field on their Rotageek profile.
To manage the access card details:
Navigate to the Rotageek People Page
Click the colleague's user profile
Add/Edit/Remove their access card number
Save
When a card is replaced or assigned to another colleague:
Update the card details on the correct employee profile.
Make sure the identifier is not already assigned to another active profile.
Ask the colleague to try the kiosk again.
Temporary workers
Some organisations require temporary workers to be registered in Rotageek and have their card details recorded before they can use the kiosk. If this has not happened, use the standard Rotageek process to record the activity and ask an authorised administrator to complete the registration.
Workers without a registered card cannot use the microsite. Their time and attendance must be recorded manually using the standard Rotageek process.
Kiosk readiness checklist
Before the kiosk is used, confirm that:
The device has an active internet connection.
The microsite URL is loaded.
The device has an active authorised session.
The kiosk session permits time and attendance recording only. It does not provide kiosk users with access to the wider Rotageek web or mobile application.
If the browser cache was cleared or the stored device identifier was lost, an authorised supervisor or administrator may need to authenticate the device again.
Troubleshooting
A colleague sees “card not recognised”
The card is not matched to an active Rotageek profile. Check that:
The colleague has been registered in Rotageek.
Their Access Card Number is recorded against the correct profile.
The profile is active.
The card identifier is unique.
Any required temporary-worker registration has been completed.
An unrecognised card does not create an attendance record. The failed attempt is shown as an unresolved event on the attendance dashboard, so you can follow up and correct the activity if needed.
A worker does not have a registered card
Workers without a registered card cannot use the microsite. Record their activity using the standard Rotageek process instead.
The kiosk is not accepting any card taps
Check that:
The kiosk has an active internet connection.
The microsite is open at the kiosk.
The device has an active authorised session.
If the browser cache was cleared, the device may need to be authenticated again before it can record clocking events.
A colleague’s time is missing
First check whether the card was recognised and whether the colleague confirmed the action. If the event was not recorded, use the standard timesheet process to add or correct the activity.
A colleague selected the wrong action
Use the appropriate timesheet correction process. The microsite records actual activity; it does not change the planned schedule.
A colleague needs a task change
If task clocking is enabled, the colleague can select the available task from the microsite. If the task or actual activity needs correcting afterwards, use the normal timesheet correction process.
