Understanding Budget Headers
Think of a budget header as the setting that tells Rotageek how to handle a budget for a specific location.
It defines the budget type, the over-target and under-target tolerances, and the tasks the budget should apply to. In simple terms, it links a budget to the right work at the right location.
Budget headers are also important for autoscheduling. They help Rotageek understand which tasks should be considered against a budget, so labour can be scheduled in line with the budget rules you have set.
What the fields mean
Budget type: whether the budget is being tracked in Hours or Money.
Over-target tolerance: how far above the target budget you can go.
Under-target tolerance: how far below the target budget you can go.
Applies to tasks: the tasks that should use that budget header.
Creating Budget Headers
There are two ways to create budget headers.
The first is in Admin Console > Company Settings, where you can turn on automatic budget header creation for new locations. If you enable this, you can choose whether the budget should be created in Hours, Money, or Both. When auto-creation is enabled, a budget header is added for locations created via the public API, location importer, or Locations page.
The second option is to create a budget header directly in Location Settings for a specific location. This gives you more control when you want to set up or adjust budgets one location at a time. If you have access to the location settings, you can navigate to Admin Console > Locations > Click the location you want to create a budget header for > Budget Headers
Managing Budget Headers
Once you open a location in Location Settings, you can view its existing budget headers and update them as needed.
From there, you can see the budget type, the over-target and under-target tolerances, and which tasks each header applies to. You can also add a new header, edit an existing one, or remove a header that is no longer needed.
When adding or editing a budget header, you choose the budget type, set the over-target and under-target tolerances, and select the tasks it should apply to.
Validation
Tolerance values must be between 0 and 100. If you change the budget type while editing, Rotageek shows a warning message before you continue.

Are budget headers created automatically for new locations?
Yes, if automatic budget header creation is enabled in Company Settings.
Can I choose the type of budget created automatically?
Yes. You can choose Hours, Money, or Both.
Can I choose which tasks a budget header applies to?
Yes. You can select the tasks when adding or editing a budget header.
Why can’t I see these settings?
You will need to have specific location settings permissions and company settings permissions in order to view this. If you want permissions to create budget headers and you're a Group Admin, please contact your Customer Success Manager or Rotageek Customer Support.
Why can’t I enter my tolerance value?
Tolerance values must be between 0 and 100.
